Westmoreland Manor is seeking applicants for the position of Executive Secretary. This position is to manage the office and administrative operations of Westmoreland Manor and to coordinate the clerical functions in order to ensure smooth and efficient operations.
Provides secretarial support to the Administrator.
Acts as a liaison between Department managers, residents and staff in cooperation with the Administrator.
Composes reviews, dictates and edits correspondence including minutes, reports, memos, etc.
Maintains schedules for conference rooms throughout the facility.
Prepares payroll for the Administration Department and Switchboard.
Prepares Switchboard schedules.
Greets visitors and directs them to the appropriate persons and/or locations.
Compiles and completes insurance paperwork for the Manor.
Prepares and submits invoices, processes seminar requests and orders supplies.
Prepares re-credentialing applications and monitors required licensure for medical staff and contracted services.
Collects incident reports, fire and emergency reports for the Safety Director.
Maintains the Administrative Policy Manual, Physician License Certification Manual and Contract Expiration file.
Applicants must have 1-2 years of previous office and clerical experience within a medical or acute care facility; or any acceptable combination of experience, training and education. Must possess excellent typing skills. High School or Equiv. in General Studies is required. Associate’s Degree in secretarial science preferred.
