The Westmoreland County Juvenile Probation Office has a Department Clerk position vacant and is accepting applications.

As the Juvenile Probation Department Clerk you will be responsible for the following:
Answering the telephone in a professional/ timely manner.
Transferring calls, and manages important situations.
Paging over the intercom.
Processing Emails through the P drive and upload to the JCMS database.
Organizing filing in numerical order every Friday.
Processing the outgoing postal and interdepartmental mail.
Receiving and distributing the daily postal and interdepartmental mail.
All charges received must be certified through the time stamp. If charges are delivered in person, they must be checked by the intake person that is on mail for that week.
Checking the vacation calendar to see who is off and follow up in the morning with supervisor to record who has called off for the day.
Notify all intake and probation officers when appointments have arrived.
Must properly conduct hearings and effectively communicate with the Public Defender, District Attorney and Police Officers of who has arrived for hearings.
Check your calendar daily, located in Microsoft Outlook to be aware of any trainings or meetings that may take place and fill in top of daily sign-out sheet.
Be aware of who will be receiving Intake Mail and doing Detention hearings during the week.
Certify documents from the Clerk of Courts with the time stamp.
Time stamp expungements and distribute to proper staff.
If it is during the school year, be sure to give school excuses if needed to victims, witnesses, and any juvenile appearing for a hearing.
Every record you process, whether through JCMS, charges that are received, or by telephone conversation are completely confidential
